Information Technology (IT) systems are indeed effective in streamlining the process, but they do not resolve a business process problem. In fact, once you begin to engage with IT, the initial step you want to take is to clearly articulate what issue you are attempting to address.
Enterprise resource planning (ERP) aids in automation to streamline core business processes, minimizing manual repetitive tasks; however, it necessitates input that originates from the business process or existing systems in operation. Obtaining clear expectations on the capabilities of the technology can assist in pinpointing gaps and envisioning the effort needed to maximize the benefits of IT.
Master Data (mapping) is one of the crucial areas that, if not thoroughly comprehended, can lead to increased complexity, as the end user typically does not grasp the information process flow and ultimately faces difficulties with inaccurate data, along with uncertainty on how to validate or manually amend it.
Data mapping isn't simple; often, there are tailored guidelines created for the system to display the information in a manner that meets the end user's needs. In other words, the greater the intricacy of the process represented in the system and the degree of customization needed, the more complicated it becomes to sustain or implement modifications.
As companies mature with technology, users tend to get smarter by identifying how to maneuver the system which requires then internal audit to track and then correct it. This is not entirely bad as usually information is required as accurate as possible in a short period of time. In one way with IT you gain speed, but when lacking smart processes and training it tends to add more complexity to manage effectively.
